As responsible. professional letting agents, Zed Lettings Ltd (Mexborough) is registered with, and complies with all data protection legislation and recommended property rental best practices currently in force. We have updated our Privacy Policy to reflect the changes introduced by the new General Data Protection Regulations (GDPR) which comes into force from 25th May 2018. These changes in law will provide you with greater transparency and control over your personal data.
Our updated Privacy Policy came into effect on 1 May 2018 and it sets out how we will collect and use your personal information and what your individual data protection and privacy rights will be under the new regulation.
Zed Lettings values your privacy and want you to be clear about the data we collect and store, how we use this, and the rights you have to control that information. When you register your details for the purpose of either becoming a tenant or landlord with Zed Lettings, we will ask for the minimum information appropriate to fulfil such requests, and therefore different web pages within this site may ask for different personal information.
Where you have given us information we will keep your information confidential except where disclosure is required or permitted by law (eg. to government bodies and law enforcement agencies to assist in the detection of criminal acts) and we will only use your information within Zed Lettings to prepare and undertake property letting and management services on your behalf.
To ensure our continued compliance with data protection and privacy laws, we may update the Privacy Policy from time to time; therefore we encourage you to review the Privacy Policy on our website periodically to keep up to date. We will always let you know if we make any material changes to the way we process and store your personal data.
When you share your personal information with Zed Lettings, you have a right to expect that information to be treated with total confidentiality. Therefore, it is our responsibility to manage your personal data with care, and in accordance with all current data protection legislation and lettings industry best practice.
Whether you supply your personal details online, by phone, by email or in a letter, we will never use them without a lawful reason to do so, and will only use your personal data for the purposes for which they were initially requested and as fully explained in this Privacy Policy.
It is your responsibility to ensure that any personal data provided to us is accurate and up to date at all times. Zed Lettings do not use your personal data for direct marketing purposes. We hold your data for the express purpose of contacting you regarding current properties we think you may be interested in. If you have given your personal details through any property portal such as Zoopla or OnTheMarket, or via our Website, then this data is deleted once the property you have enquired about has been filled, unless you have asked us to inform you about any potential properties which may become available in the near future. In any event, all personal data gathered through website or portal enquiries is deleted regularly - unless you expressly ask us to delete this beforehand, either in writing, by telephone or via email.
We will obtain your written consent to store and share your information with third parties through our property application process (for tenants) or through our property management process (landlords).
We will not share your personal data with third party companies for the purpose of them marketing their products and services to you, unless we have your express written consent to do so in relation to the management of utilities and council tax services and provision of quotes for new utility services.
We carry out fraud and credit checks on new tenancy applications and new landlords. In order to do this, we use data sourced from Credit Reference Agencies and other external agencies that are involved in fraud detection.
We will hold your personal data collected through these processes only for the period applicable to your application, tenancy or management of your property.
Any third party that communicates with you on our behalf must only do so for the purpose of carrying out these specific services and not for any other purpose. If you have any concerns about any of our third party processors and partners, please contact us in the first instance.
Zed Lettings do not transfer any personal data outside of the EU.
Right of Access: You may wish to access a copy of the personal data we hold about you - known as a Subject Access Request. You can do so by ringing, writing to or emailing Zed Lettings. We will respond to your Subject Access Request as soon as possible and, in any event, within the statutory 30 days. However, in the event that we need more information from you to verify your identity, which we must do to ensure we disclose your personal data to the right person, the 30 day response period will only commence from the time that we have validated your identity.
Right of Rectification: If you believe we have made an error as to the personal data we hold about you, please speak to us on 01709 468244 and speak to a member of staff who will be able to process the correction for you. Alternatively, you can email us any updates and we will discuss, confirm and amend.
Right of Erasure: You have the right to request your personal data to be permanently deleted from our records and systems to avoid any further communication with you. Your request will always be considered in light of the legal bases that we hold, store and process your personal data and the purpose that we collected your data. Where the legal bases permits, we will carry out your instruction without undue delay. Please note, however, that where we have a legal or contractual obligation to hold your personal data, we may not be able to carry out your request but we will explain this fully to you. Right to Restrict Processing: Should you believe that we are processing your personal data in a way that you did not understand or agree to and wish to restrict such processing, please contact us immediately, where a member of staff will be able to assist.
Right to Object to Processing: You have the right to object to certain types of processing of your personal data. We will always make it clear at the outset of any new arrangement with you how we are going to process your personal data. Should you wish to object to such processing, particularly concerning Automated Decisioning and Profiling, we will give you the option to opt out on application. However, should you wish to discuss this matter further, please contact the office to discuss this.
Right to Portability: In the event that you wish to move your personal data that we hold on you to another agency, please contact the office to discuss this.
Right to be Informed: You have the right to be informed about the collection and use of your personal data. This is commonly known as a 'privacy statement' or 'privacy policy'. We will provide you with the information about how we collect and use your data in various means, such as by 'just in time' notice provided to you at the time of collecting your personal data through our application forms and via this Privacy Policy. Our Privacy Policy is regularly reviewed in line with our business processes. Any changes to this Privacy Policy will be communicated via email to all active customers. You can ask for a printed copy of our Privacy Policy by contacting us.

The Client warrants that the name, address and payment information provided when initially contracting for Zed Lettings' services through this website is correct, and subsequently agrees to notify Zed Lettings of any changes in name, address and/or payment details as soon as possible.
The Client accepts full responsibility for keeping their own Zed Lettings' website account details confidential (Account and User ID and Password) where supplied. Where the Client believes their account details have been compromised they must inform Zed Lettings immediately and a small fee may be chargeable for change and re-issue of account authorisation details.
Zed Lettings assumes no responsibility for, and shall not be liable for, any damage resulting to your computer through the use of this Site.
